Title: West Coast Mini-Con?

I'm wondering if there is any interest in having a little mini-con on the west coast?  I know there are a lot of guys from the PNW and NoCal and SoCal in here who couldn't afford to go to Indy.  

Right now I'm looking at October 16-19.  That's the weekend of the California International Airshow. (http://www.salinasairshow.com/)  They have group tickets available which would give us seating in a tent with catering and a bar.  They will have the Thunderbirds and a bunch of other performers.

We could stay in the San Jose area and easily drive down for the show in Salinas.  There are a lot of conference facilities available in the San Jose area, plus easy air connections from the San Jose, San Francisco, and Oakland airports.  

I'm putting some requests out to hotels in that area to see what we could do.  Right now I am looking at Embassy Suites, which is pretty economical if you share the suite and take advantage of free breakfast and free happy hour.  Nice hotels too.

I have no idea what it would cost, but I would go for no frills, just hotel rooms, a conference room, and an internet hookup.  T-shirts, lecturers, meals, all that stuff would be on an individual basis and not part of the fee for the conference.

Cool.  That's 3 of us (Mietla is going whether he likes it or not :) ).
I don't know what the economics will look like on the conference room rental, but at 20 people the De-Luxe airshow tickets drop from $50 to $35 a head, so I think that would be a good number to shoot for.  Keep this puppy up at the top.  :)

I'm in Santa Cruz and would realy like to attend.

I have an office in the Seascape Resort just South of Santa Cruz, maybe we can have our gathering here. Salinas is only 40 minutes away and I most likely could get a deal on the rooms, food and T-1 access.

Let me know whatever venue is decided on.

I think this is an inside joke because I told MiniD too much about my private life.  I live in a one room cottage I rent from a Chinese millionaire.  The whole complex is wired for ethernet, so connectivity would be easy, but I think you would have to set up the PC's outside.  :)

Lars by all means, look into it!  Santa Cruz would be great too.
See if you can find out what it would cost to get a conference room for 10/16-10/19 with internet connections and space and power for 20 PC's, and what kind of group rate they can give us on rooms.

Whoa those are steep rates.  I'm not sure I could afford that.  Then again, we usually go 2-4 guys in each room on these things.
I think Embassy Suites will be $125 per night tops, probably less.

BTW No political or religious discussion would be allowed.  Normally everybody abides by that rule anyways, but I just wanted to be clear.  I've found that at these things that people forget their differences pretty quick when they find out how much they have in common with their fellow nerds as opposed to the public at large.  :)

That would be nice (I normally stay at Motel 6) but it's unlikely that a place that cheap would have suitable convention rooms.  I think $100 per night is about as low as we can get, and based on other AH/WB cons I think the con fee will end up around 150 per head.  I will shop around though.  

PS The key is to room up.  At Embassy Suites most of the rooms have a King bed which will sleep two, plus a hide-a-bed in the couch.  At 3 guys to a room, $100 room rate becomes quite easy to stomach.

Funny thing is Funked, in person with real people as opposed to these internet personas I'm very polite and understanding and actually I feel uncomfortable if I'm around people acting so rude and nasty as I am here in O'Club or those who come across so mean spirited as I must imagine I do to many here.  

Thats actually one of the reasons I dont get "involved" in politics by voting or campaining - it makes people enemies too easy and cuts off interesting friendships.

I just dont seem to care to be polite on the internet anymore - which bellive it or not i was for a very long time but nobody gives a damn....

Yeah I understand, almost everybody on here has the same thing to some degree.  I wasn't trying to single you out.  Lazs for instance, pisses off a lot of people on the internet but in real life he's like the friendliest person you could meet.  I just don't want people to be afraid that they will clash in real life with somebody they skirmish with on here.  It just doesn't happen in my experience.

I'm just 20 miles north of SF.  I'd be interested if it can be worked at a time that works for me as well as you guys.

My work schedule is as follows:

Mon: OFF
Tues: 8:00AM - 5:00 or 6:00PM
Wed: 8:00AM - 5:00 or 6:00PM
Thurs: 8:00AM - 5:00 or 6:00PM
Fri: OFF
Sat: 11:45AM - 10:00PM
Sun: 7:45AM - 6:00 or 7:00PM

I'd like to participate in a west coast AH gatering if possible, but I know my work schedule isn't very friendly to actually doing things.  I think my best bet would be Friday, or Friday night.

I'd be a possible late entry...couldn't confirm anything for a month or two.  I don't have the Tahoe anymore, but I could put Rip in the trunk of my Tbird...it's quite spacious.  If it's possible for me to go tho', you can bet I'll be there.

Sounds like two of my guys are going. I just posted this thread to my squad. We have several in CA, including myself. Not sure if I can go, but I think it would work.

We also have two squadies that live in Salinas (Vaderr and TeeeRex) so most of us dogs would be there. :)

Hey that's great guys, glad to see the response.  I did some research and there are a lot of hotels in the San Jose area which have suitable facilities with T-1 or better lines in the conference rooms.  And I have found some room rates which were better than my estimate of $100, more like $75.

Right now I am getting some bids for a 30 person event.  When I get some cost numbers for the conference room and I will post them here and see what people think.  

If I need help it will probably be in the following areas:
1.  Network cabling and hardware (routers?) setup.
2.  Airport transportation.
3.  Airshow ticket group buy  & transportation.
4.  T-shirts, baseball caps, registration badges, etc.

So far we have 27 responses, 12 saying yes and 15 saying maybe.  I know two guys who are already booking flights.  I'm also going to post over at AGW (once they activate my account) to see if any of those guys want to play.

Based on the current level of response.  I'm getting bids from the hotels for a conference room with  internet connection and power and room for 20 to 30 PC's.

I have gotten some replies already but no dollar figures yet.  As soon as dollar figures come in, I'll be able to generate a budget for the con and figure out what the con fee will be and how many people we need to have registered to break even.  

At that time we will start asking people to put their money where their mouth is so we can get the room booked and get the airshow group ticket purchase done.

If the con room fees are feasible I will do some recon this weekend to choose the best site, and also get some face time with the sales people at the hotels.

I'll post updates here as I get more info.

OK First bid is in.  
This is an Embassy Suites hotel with free breakfast cooked to order and all-you-can-drink free happy hour.
Room rates are $95 per night for a room that will sleep up to three people.
Con fee would be about $115 per person.
This includes con room rental, internet hookup, and flightline box seats at the airshow with catered meals and a no-host bar.

I'll post more numbers as I get them.  Please let me know what you think of these numbers!  Yea or Nay.

The Con Room would be rented out Thurs, Fri, Sat, and Sun.  That's the standard WB/AH Con format.

I'm interested but I'd have to see what the costs were gonna be before I could commit to anything.

Can't commit to anything right now, I'm moving and will be job hunting depending on what I can find and all I may or may not be able to do it.  Definetly interested though. :)

For a single room that would cost $115 + 3 * $95 for the whole thing. If you want to share a room with two other guys, that's only $210

Plus, looks like most of us will probably drive, so no need to pay airfare.

MiniD, the con room is the meeting room where we set up all the tables and computers and the network.  The hotel charges us to use the room 24/7 for 4 days and they charge us to set up the internet connection in the room.   You all would pay me a con fee which I would use to pay the hotel for the con room, and to buy the group ticket package for the airshow.

The guest room rate is for the actual hotel rooms and it would be $95 per room (at this particular hotel) regardless of occupancy.  You all would book guest rooms individually using a group rate code which the hotel would give us.

This is the SFO Embassy Suites.  I've got RFP's out to all of the other Embassy Suites from there to Milpitas.  I spammed the whole chain, and several other chains.

MT that's correct, based on the information the hotel is giving me, and assuming we get at least 20 to 30 people to sign up.

I am going to meet with them face to face before I sign anything or spend anybody's money, and make sure.

Also there will be bids coming in shortly from other hotels, and it may actually get cheaper.  :)

I live here in SF bay area, and would definately be game. I know there are several other MAW in Cali that would more than likely come. BGBMaw and UrbMaw live in Sacto area, Ice lives in So. Cal & Prop lives central coast somewhere. I will spread the word with squadies.
